Under general direction, performs a variety of duties including shipping, receiving, work order admintration, mail, and general office support work. Acts as the primary communication point with the customer, subcontractors and property manager at contract facility sites and structures. Follows up as needed to ensure customer satisfaction
PRINCIPAL DUTIES:
  1. Acts as a principal contact / liaison with customer, property manager and subcontractors on site. Acts as primary contact in routine situations as well as emergency situations (i.e. facility breakdown such as gas leak, flooding).
  2. Performs shipping duties to include packaging and processing outbound packages, carrier selection from standard listing.
  3. Performs receiving duties to include receiving and validating inbound packages, unpacking, distributing internally or forwarding to other sites.
  4. Performs work order administration utilizing a computerized order management system.
  5. Ensures that subcontractors utilized are from approved pool of vendors.
  6. Acts as primary contact on assigned sites for work order coordination.
  7. Performs mail-handling duties such as posting, distributing, forwarding.
  8. Generates and provides standard monthly reports to client on topics such as headcount, work orders performed, space utilization. This involves using a variety of excel templates.
  9. Performs general office repairs such as door adjustments, module furniture adjustments.
  10. Provides overall office operations support. This may include requisition, inventory and maintenance of office supplies or break room supply inventory and ad hoc cleaning. Keeps printers and copiers properly filled with paper and toner, and assists with printer/copier jam. Sets up conference rooms, including IT hub installation and audio video equipment coordination.
  11. Coordinates onsite security access. Ensures employees or visitors meet the customer's security requirements, such as properly signing in, receiving or `return`ing a badge.
  12. Conducts monthly site safety inspections ensuring the customer's maintenance and safety guidelines are respected.
  13. Performs data entry to support the customer's accounts payable, procurement, and conference room scheduling system.
  14. May perform reception duties such as greeting customers, answering phones

Qualifications

 
High school diploma or equivalent education with six years previous experience in overall office operations support. Must be able to act independently and handle emergency situations. Must have demonstrated exceptional customer service skills, and excellent verbal and written communication skills. Must be a team player committed to working in a quality environment. Proficiency in PC skills (such as Microsoft Office Suite) required. Familiarity with a variety of computerized systems such as work order management, accounts payable, procurement, and scheduling is a plus. Able to work second or third shift, holidays, and weekends as required.
Physical requirements include standing for long periods of time and the ability to
lift packages up to 40 lbs
